To simplify the management of your offerings and automate individual workflows within the system, edoobox provides six different offering statuses. The status determines whether an offering is still in preparation for its web presence or can already be published or released. Each status indicates the current state of an offering. In some cases, the status is automatically updated by edoobox, but any status can also be manually activated by an administrator. Please note that not every status is selectable at all times. Selectable statuses are highlighted, while non-selectable ones are displayed transparently. The sequence of the six possible statuses is explained below.
Draft (API Status: 0) Draft
After an offering has been created or copied, it defaults to the Draft status. In this state, the offering is not yet visible on the web presence (e.g., in an iFrame), and participants cannot make bookings. However, administrators can already add participants via backend bookings.
Info: Backend booking in Draft
If participants are booked into the system via backend bookings and the maximum number of participants for an offering is reached, edoobox will automatically move the offering to the Closed status.
Published (API status: 1) Published
If an offering is to be published and made available for bookings, its status must be manually changed to Published. The offering is now (if already integrated into the web presence) visible online, and participant bookings are possible. Administrators can add participants via backend bookings in this status.
Tip: Back to Draft
As long as the offering has no bookings, the Draft status can be manually reactivated, and the offering will disappear from the web presence.
If an ongoing offering has already started, this is indicated by a corresponding symbol on the web presence by default. Participants can thus see that they are booking an offering that has already commenced. The display of these symbols can be customized via the Design Manager.
Guaranteed execution (API status: 2) Guaranteed to take place
Once the minimum number of participants is reached, edoobox automatically switches the offering to the Guaranteed Execution status (if configured as such in the global offering settings). The offering is visible on the web presence, and participant bookings are possible. Administrators can add participants via backend bookings in this status.
On the website, an offer with the status of guaranteed execution is standardly indicated with the corresponding symbol. If a long-running offer has already started, this is also displayed on the website with a corresponding symbol. This allows participants to see that they are booking an offer that is definitely taking place or has already commenced. The display of these symbols can be customized via the Design Manager.
Closed (API status: 3) Closed
An offer with a Closed status awaits an admin's decision on whether it will be released for execution or cancelled.
Offers for which the registration deadline or the maximum participant count has been reached are automatically closed or released by edoobox (according to the global offer settings). In the Closed status, booking by participants is no longer possible. Admins can add participants via backend bookings in this status and also overbook the offer. Overbookings are visible in the offer dashboard and the offer table (App Menu > Offers).
The offer remains visible until its visibility expires (depending on specific offer settings, up to or after the start or end date). If the 'Waitlist' option is activated, participants can register on the waitlist until visibility expires.
Tip: Make Offer Bookable Again
If you wish to extend an offer for booking and it was closed by edoobox, please check the registration deadline and, if necessary, set it to a future date. Also check the maximum available participant count if you wish to allocate additional spots. For closed offers, it is necessary to manually set the status to Published or Guaranteed Execution to allow new bookings.
Approved (API status: 4) Approved
If the prerequisites for an offer's execution are met, the offer can be released.
Offers for which the registration deadline or the maximum participant count has been reached are automatically closed or released by edoobox (according to the global offer settings). In the Released status, booking by participants is no longer possible.
Tip: Sending the Release Email
When manually changing the status to Released, you have the option to send the release email to all participants. This email template can be customized beforehand in the email settings and, for example, extended with additional texts.
Cancelled (API status: 5) Cancelled
If an admin decides not to execute a closed offer, the offer's status can be manually changed to Cancelled. All participants already booked for this offer will then be moved to the waitlist. A window will also open, allowing the admin to create an email task (e.g., sending a cancellation email) if needed, to inform participants about the cancelled offer.
Immediately after changing the status to Cancelled, an offer is no longer visible on the website.
Tip: Sending the Cancellation Email
When manually changing the status to Cancelled, you have the option to send the cancellation email to all participants. This email template can be customized beforehand in the email settings and, for example, extended with additional texts. Do not forget to highlight your other offers in the cancellation email and invite your participants to new bookings.
Tip: Republishing a Cancelled Offer
If you wish to republish a cancelled offer, this can be done by clicking on the Published status. Please remember that all booked participants are on the offer's waitlist and will not be automatically moved back to the active participant list by the status change.
