Group registration without providing participant details

The "Open participation for group registration" option allows bookings to be entered without having to specify participant details directly during registration.

This allows the contact person to book the desired number of places first and add the participant details at a later date.

The option is activated in the respective offer under Settings. To do this, select the setting "Open participation for group registration."

During the booking process, only the price category page is displayed. Any number of tickets can be selected there. The details of the person making the booking are entered in the form. Additional participants can be added later.

During the booking process, the details of the person making the booking are entered first. The booked seats A can then be assigned to individual persons by entering their names. This intermediate step helps the person making the booking to allocate the seats and is not considered an entry in the participant list. This intermediate step can be deactivated in the booking widget.

Option: Hide the "Assign seat" field on the checkout page

If you have activated collective registrations, where only the total number of participants is relevant, you can hide the Assign seat A field on the final page of the booking. This simplifies the registration process for use cases where no personal data of the individual participants needs to be recorded.

  1. In the Design Manager, navigate to the checkout page D and open the "All bookings" widget E.

The All Bookings widget allows you to control exactly which information is displayed to the customer on the checkout page and tailor the booking process to your specific use case.

Add participant data independently (by contact person)

The contact person can invite participants retrospectively. There are three options available for this: A a direct link, B the invitation page, and C a QR code. These can be copied or displayed and forwarded by email, for example. The invited persons enter their data themselves and are automatically assigned to the course after registration.

Administration in the backend

After booking, participant data can be added or edited in the backend under the respective group registration. Open places can also be managed. The button A "Assign participants" is used to add a person to a free place. The relevant data is entered and saved in the input window B.

Additional function on the booking summary

Depending on the activated modules, various additional options are available in the dashboard. These include the following functions:

  • Perform/request cancellation

  • Display booking PDF

  • Print invoices

  • Print ticket PDF

  • Print participant certificate
