Offers: General settings

In the main navigation under the menu item "Settings", the automatic processes for the entire edoobox account can be changed and defined by clicking on "Offers" A.

"Guaranteed implementation" status

If the offer is in Guaranteed execution status, the maximum number of participants has been reached or the registration deadline has expired, the system should automatically switch to the following status:

  • Closed - you now decide whether you want to release the offer for execution, i.e. manually switch to Release

  • Enable - it is automatically switched to Enable

Sorting the offers

In which order should your offers be displayed to the person making the booking - by start date of the offer or in the same order as the offers appear in the backend (offer tree).

Automatic quotation archiving

Define whether an offer should be archived after the closing date and a corresponding copy created. You have four options to choose from: no archiving, automatic archiving after one day, automatic archiving after 30 minutes and automatic archiving with copy.

The following points must be met for an offer to be archived automatically:

  • Automatic archiving activated in the settings

  • The display end date must be in the past (display end date = offer end date + defined display delay)

  • The status of the offer must be Closed, Released or Canceled. 

  • Of course, the offer must not have already been deleted, archived or be a sub-offer of a multi-offer

Bookings by admin - Booking.pdf dispatch

Define whether the booking confirmation incl. "Booking.pdf" should be sent automatically when a manual participant booking is made in the backend. Or the dialog box should be displayed so that you can decide individually for each manual participant booking whether the booking confirmation email should be sent.
As a third option, you can completely deactivate the sending of manual participant bookings.
To send the invoice when participants are added manually, this must first be created manually and then the booking confirmation sent via the dialog box.

Booking number - number range

With each transaction, the number entered is increased by one and can be changed at any time. It is not possible to enter a lower number than the numbers already assigned.

Internal offers

Activate the "Internal offers" function to make the courses/events of this edoobox account accessible exclusively via a special link. This means that your offers will not be found by the search engine and can be used for internal company events.

Automatically guaranteed implementation

Define whether the course status automatically changes from published to guaranteed execution when the minimum number of participants has been reached. The booking participant can recognize this immediately if you have displayed a progress bar in the Design Manager.

Design for subcategories

By activating this function, you can also create and assign an individual design for subcategories.

Consider reservations

If you activate this function, edoobox takes into account not only the completed bookings but also the bookings that have been started. The system keeps the places to be booked free for 10-20 minutes for those participants who are in the booking process. This means that the places in bookings in progress cannot be booked by participants who complete the booking process quickly if there are not enough places available for both bookers.

As an admin, you can see whether reservations are available by opening the corresponding price category in the offer.

Please note: Consider reservation

If you have activated the Consider reservations function, places can only be booked if; maximum number of participants - number of bookings - reservations ≥ 1. (Waiting list bookings and free choice of dates are not taken into account)

 Show promotions in the booking process

The input field for the promotional code in the booking process can be shown or hidden. It must be activated in the global "Settings" if required. The name of the promotion code can also be customized. This description can have a maximum of 100 characters.
