Set up my new edoobox account
edoobox is configured from the ground up so that you can immediately start creating, publishing and releasing your offers such as courses, seminars and events for bookings. You can send your offers directly as a link by e-mail or integrate them into your website with an embed code.
Of course, you have the option of adapting edoobox to your specific needs in advance or during the current tender. The following instructions will help you to do this. The order of the points listed below is not important - however, we recommend that you check each point to determine whether it might be of interest for your intended use. Please note that the available features and settings may vary depending on your subscription. During the test phase you have full access to all edoobox functions. You can change the settings at any time as required.
1. create a new admin
When you create an edoobox account, you are automatically entered as a super admin and receive the highest level of rights. Create separate accounts for everyone in your team and assign them the appropriate rights. To ensure the best possible security of your data in edoobox, we recommend creating a separate account for each admin and activating two-factor authentication.
Tip: Distribution of rights
We recommend always assigning each admin the necessary rights that correspond to their area of responsibility. It is advisable to assign at least two people with super admin rights to ensure that the data in your edoobox account is optimally protected even during absences such as vacation replacements.
2. enter a new implementation location
The specified location of the person creating the edoobox account is automatically entered as the first implementation location. You have the option of creating additionalvenues and adapting existing venues. These venues can then be stored for individual events to let your participants know immediately where a particular event is taking place.
3. replace the sender e-mail address with your own
For personalized communication with your customers, we recommend storing your own e-mail address as the sender in your edoobox account. In this way, your participants will see your name as the sender of e-mails from edoobox. If you do not make this setting, the e-mails will be sent from the address noreply@edoobox.com.
You have three options for this:
Set up SMTP
In the email settings, you have the option of storing the outgoing mail server SMTP data. In this way, all automatically sent emails are sent via your organization's SMTP server and have your email address as the sender address.Set up MailJet
Sending emails via MailJet is an efficient alternative to your own SMTP server. MailJet allows you to send signed emails in high quality. For each email sent, you can see from its status whether it has been successfully delivered, opened or rejected by the receiving server as undeliverable (bounce/spam).Microsoft Outlook
As edoobox is an official Microsoft partner, you have the option of connecting your Microsoft 365 Work or School account to your edoobox account. Automatic emails are therefore not sent from edoobox via noreply@edoobox.email, but directly on your behalf via the latest Microsoft API.
4. customize the e-mail templates
All e-mails and PDFs that can be sent via edoobox can be customized in terms of content and design. This allows you to tailor communication with your customers to your needs. For example, start with the booking confirmation email and customize all other email templates that you will use in your communication. This allows you to ensure that all your email correspondence is in line with your corporate identity and corporate design (CI and CD).
5. integrate the offers into the website
With little effort, the offers created can be integrated into your website and then booked by your customers.
The offers can be integrated into your website in different ways. We recommend integration via iFrame or the use of a WordPress plugin. If you have advanced developer skills, you can also use the edoobox API to create a customized integration.
6. request the correct personal data
As the booking process should only request the data that is essential for registering for your offer, edoobox offers you the greatest possible flexibility here. The system contains ten predefined data fields as standard, which cover the requirements for standard bookings. You also have the option of creating up to 30 additional data fields according to your requirements and integrating them into your registration form(s). This enables flexible customization of the booking processes for different offer formats.
7. designing the booking process with the Design Manager
Our Design Manager allows you to fully personalize the presentation and content of the individual steps in the booking process. If you offer different offer formats, you can create and use several individual designs. By creating different registration forms, you can request the relevant personal data for each offer. By seamlessly adapting the booking process to your website, you can guarantee your customers the best possible user experience.

9. deposit the necessary VAT numbers
In order to be able to show the VAT (sales tax) correctly in the accounting statements, it is necessary that you store and activate the VAT numbers in edoobox. You have the flexibility to enter any number of different percentages per VAT number. In this way, you can show your offers either including or excluding VAT, depending on the tax requirements and the needs of your customers.
10. activate the desired correspondence languages
edoobox provides you with various system languages that you can activate for communication with your customers. You can address customers with different languages by translating the booking process and your email templates into the relevant languages. We recommend that you only activate the languages that you actually want to offer. This enables efficient communication with your customers and makes it easier to manage your offers.
11. deposit the legal texts
In edoobox, you have the option of integrating legal texts such as your general terms and conditions (GTC), a privacy policy and the cancellation policy into the booking process. In this way, you can ensure that your participants must accept the legal texts before they can complete the booking.
