Setting Up My New edoobox Account

edoobox is fundamentally configured to enable you to immediately create, publish, and make your offerings, such as courses, seminars, and events, available for booking. You can send your offerings directly as a link via email or integrate them into your website using an embed code.

Naturally, you have the option to customize edoobox to your specific needs either in advance or during an ongoing listing. The following guide is intended to assist you with this. The order of the points listed below is not critical; however, we recommend reviewing each point to determine if it might be relevant for your intended use. Please note that available features and settings may vary depending on your subscription. During the trial phase, you have full access to all edoobox features. You can modify the settings at any time as needed.

1. Add a new admin 

When you create an edoobox account, you are automatically registered as a Superadmin and granted the highest permission level. Create separate access accounts for all members of your team and assign the appropriate permissions. To ensure the best possible security for your data in edoobox, we recommend creating a unique access account for each admin and activating two-factor authentication for each.

Tip: Permission Distribution

We recommend always assigning each admin the necessary permissions corresponding to their area of responsibility. It is advisable to grant Superadmin rights to at least two individuals to ensure that data in your edoobox account remains optimally protected, even during absences such as vacation coverage.

2. Add a new venue 

The location specified by the person who creates the edoobox account is automatically recorded as the primary venue. You have the option to create additional venues and modify existing ones. These venues can then be assigned to individual dates to immediately inform your participants where a specific offering will take place.

3. Replace the sender email address with your own 

For personalized communication with your clientele, we recommend configuring your edoobox account to use your own email address as the sender. This ensures that your name appears as the sender to participants receiving emails from edoobox. If you do not make this adjustment, emails will be sent from noreply@edoobox.com.

Three options are available for this: 

  • Set up SMTP
    In the email settings, you can enter the details for the SMTP (outgoing mail) server. This ensures that all automatically sent emails are sent via your organization’s SMTP server and include your email address as the sender address.

  • Setting up MailJet
    Sending emails via MailJet is an efficient alternative to running your own SMTP server. MailJet allows you to send high-quality, signed emails. For every email sent, you can use its status to see whether it was successfully delivered, opened, or rejected by the receiving server as undeliverable (bounce/spam).

  • Microsoft Outlook
    Since edoobox is an official Microsoft partner, you can link your Microsoft 365 Work or School account to your edoobox account. This means that automated emails are not sent from edoobox via noreply@edoobox.email, but directly on your behalf using the latest Microsoft API.

4. Customize email templates 

All emails and PDFs that can be sent via edoobox are individually customizable in terms of content and design. This allows you to tailor communication with your clientele to your specific needs. For instance, start with the booking confirmation email and then adapt all other email templates you intend to use in your communications. This ensures that all your email correspondence aligns with your Corporate Identity and Corporate Design (CI and CD).

5. Integrate offerings into your website 

With minimal effort, your created offerings can be integrated into your website and subsequently booked by your clientele.

The integration of offerings into your website can be accomplished in various ways. We recommend integration via iFrame or by utilizing a WordPress plugin. Additionally, if you possess advanced development expertise, the edoobox API is available for custom integrations.

6. Collect the appropriate personal data

Since only essential data should be requested during the booking process for registration to your offering, edoobox provides maximum flexibility. The system includes ten predefined data fields by default, which cover the requirements for common bookings. Furthermore, you have the option to create up to 30 additional data fields according to your specific requirements and integrate them into your registration form(s). This allows for flexible adaptation of booking processes for various offering formats.

7. Designing the Booking Process with the Design Manager 

Our Design Manager allows you to extensively personalize the appearance and content of each step in the booking process. If you offer various formats, you can create and utilize multiple individual designs. By creating different registration forms, you can request relevant personal data for each offering. Seamlessly adapting the booking process to your web presence ensures the best possible user experience for your customers.

edoobox integrates a variety of payment systems that you can use to receive participant payments. These include:

9. Storing the Required VAT Numbers

To correctly display Value Added Tax (VAT) in booking statements, you must store and activate the VAT numbers in edoobox. You have the flexibility to record any number of different percentages per VAT number. This allows you to present your offerings either inclusive or exclusive of VAT, depending on tax requirements and your customers' needs.

10. Activating the Desired Correspondence Languages

edoobox provides various system languages that you can activate for communication with your customers. You can address customers in different languages by translating the booking process and your email templates into the respective languages. We recommend activating only those languages you genuinely intend to offer. This ensures efficient communication with your customers and simplifies the management of your offerings.

11. Storing Legal Texts

edoobox allows you to integrate legal texts such as your General Terms and Conditions (GTC), a privacy policy, and the right of withdrawal information into the booking process. This ensures that participants must accept these legal texts before completing their booking.
