Set up SMTP e-mail server
The edoobox e-mail system is intended as a simple introduction or as a failover if your own is no longer running, but we recommend storing Office 365, MailJet or your own SMTP, where you can make your own settings.
Store SMTP e-mail server in edoobox
You have the option of storing an SMTP (Simple Mail Transfer Protocol) in edoobox for your organization and for each admin. All automatically sent emails are then sent via the organization SMTP and have your email address as the sender address.
What are your advantages here?
You can send more emails per day via your own email provider, as the daily limit is usually higher than that of the noreply@edoobox.email email address.
Your participants will receive a personal e-mail from you and not a noreply e-mail address.
The reputation does not have to be shared with other companies, as is the case when using noreply@edoobox.email.

Private Microsoft 365 accounts cannot be used for sending emails.
Establishing a connection to SMTP
Navigate to the global settings A in your edoobox account.

Global settings
Under "E-mail "B, switch to the "Server "C tab and click on "Connect "D under Use other mailing system (SMTP).

E-mail server
The user name E is often the same as the e-mail address.
The password F may contain special characters.
The SMTP port G is 25 by default. Check which port is stored with your provider for SMTP. The port is different if encryption is active.

SMTP Connect
Then click on "Connect" and immediately send e-mails with your personal e-mail address.
Information about the connection to SMTP
edoobox can establish up to 5 SMTP connections per minute
Up to 20 e-mails can be transferred to the SMTP per connection
Sending 300 e-mails usually takes 3 minutes, but can take up to 15 minutes
Tip: Firewall
If you have an active firewall on your server, we recommend that you add the IP address of edoobox (IP: 178.209.55.12).
What to consider
Testing the connection
edoobox does not return a detailed error message and is limited to 10 attempts per 30 minutes.
Enabling the SMTP option
With some email providers, the SMTP option must be activated to allow emails to be sent via a third-party tool.
Limit per day
Check what limit your provider has set for emails to be sent per day. Every e-mail provider has set a limit here.
Info: free e-mail providers
Free email providers such as Gmail are generally not suitable for sending a large number of emails. In addition, no reputation can be built up with such email providers.
Tip: Sending e-mails via Mailjet
If your provider has reached its limits, we recommend Mailjet for sending e-mails. With Mailjet you can send a large number of e-mails with your sender address: Mailjet instructions
Advantage: Every e-mail sent via Mailjet shows its status, i.e. whether it has reached the recipient, whether it has been opened or whether it has been rejected as a bounce (spam) by the receiving server. When sending large quantities of e-mails, these are sent in stages.
Gmail / G-Suite integration
If a connection to Gmail cannot be established, please check the following points:
Try to establish the connection by entering the app password. This may need to be set in addition to the normal password: https://support.google.com/accounts/answer/185833?hl=de
If you are using G-Suite: Check the security settings so that a connection can be established via the app password.
If you do not want to use Mailjet, use G-Suite, the security settings are set correctly and entering the app password does not work: Please create a new G-Suite demo account with an app password and send us this demo data via support@edoobox.com so that we can check the connection setup.
Failover option
If edoobox cannot send the emails via your outgoing mail server during normal operation on the second attempt within 30 minutes , the SMTP is deactivated and the emails are sent via noreply@edoobox.email. You will receive an e-mail informing you that your SMTP has been deactivated.
To ensure that participants still have the opportunity to reply to noreply@edoobox.email , a header info is automatically sent with every email. This header is recognized by 98% of all mail systems and contains the e-mail address that you have stored as the organization e-mail address in your edoobox account.
