Participant dashboard

The participant dashboard provides a central overview of all relevant information and actions for a person. In addition to the master data (address, language, e-mail, etc.), you have access to bookings, invoices, balance, transactions, notes and the complete e-mail history. The dashboard is the starting point for all administrative processes at participant level - from data entry to accounting.

Overview and navigation

After calling up a participant, the overview opens. It shows

  • Personal information (address, language, e-mail, telephone number, etc.)

  • Bookings

  • Invoices

  • Key figures (turnover, number of invoices, open items)

  • Tags

  • Balance

  • Map with address (Google Maps)

  • Barcode

  • Notes

Edit customer data

The "Edit" button in the Information section or "Settings" can be used to view, adjust or add to all of the person's master data - e.g. address, language or email. These changes apply system-wide and overwrite the previous data in the respective data field.

Duplicates

The system automatically recognizes duplicates if participants are entered more than once. These can be merged.

Please note: Delete customers

If a participant with (completed) bookings is deleted, it cannot be restored. Therefore, please ensure that you have complied with the statutory retention obligation before you completely remove a customer from the system.

Accounting

The "Accounting" tab provides you with a structured display of all accounting-relevant data and further filter and export options:

  • Bookings: e.g. booking date, offer, status

  • Invoices: e.g. number, amount, offer, status, payment information

  • Transactions: All automated and manually entered balance movements

Enter new transactions

Manual transactions are useful for correcting the balance - e.g. for cash payments or difference adjustments:

  1. "+ New transaction"

  2. Enter amount (with - for negative amounts)

  3. Define posting text, currency, date and VAT rate

  4. Create

Please note: Manual transactions

Manual transactions are not linked to specific postings or invoices. For payments on invoices, use the "Enter payment" function directly within an invoice, not the manual transaction.

You can then create your own invoices from a manual transaction.

Outgoing mail

All e-mail communication with the participant (or their e-mail address) can be viewed in the "Outbox" tab:

  • All automated emails (e.g. booking confirmation, reminder)

  • Time stamp of the dispatch

  • Preview and content of the e-mails sent

This makes it possible to track whether and when a particular message was sent. Attachments are not displayed.
